Resource Planning within a Revenue Contract

Select a revenue contract by going into a project, then Contracts Module and filter for Revenue contracts from the Filter drop down.

Assign ressources to the contract deliverable by clicking on the add people icon on the far right hand side of the deliverable.


If a resource is missing from that list you can add the to the project by following the instructions in this article.


Deliverables can be added on multiple levels; for more information on how to add deliverables to a contract you can visit this article.


Select the people or the roles you wish to add to the deliverable and hit save.


Please note, if at the time of the resource plan you do not know who will be working on a specific deliverable, you can just select the classification of that person from the list. Later on, whoever will fit that classification will be able to timesheet against that deliverable.


Set the project quantity, unit, and rate for each person selected and press the green save icon.


Click on the arrow pointing upward to go back to the deliverables table and see the details you've added.



Next, go into the Schedule sub-nav.



In the schedule sub nav, Effort is the default selection under the Edit drop down. This shows you the resources allocated to the deliverables.


Show From gives you the ability to define the date range you are looking at.


Actuals To will show you the timesheet data up to the date selected.


The Data Entry dropdown give you the ability to enter the data either on Monthly or Weekly basis.


There are two Units which can be inserted and those are Hours and Percentage.


Percentage means you can enter a percentage of the contract hours allocated.


The Depth dropdown determines which level of data you want to see. (Level 1 = parent deliverable, level 2 = child deliverable, etc).


View dropdown gives you the ability to do either a Baseline or Actual/Forecast planning. You can select All to do both at the same time.


Contract Hours is the number of hours that has been assigned to each person in the contract.


Actual Hours is the number of hours that each person has sumitted in their timesheet against that deliverable.


Remaining Hours are how much time is left to complete the task. These hours will be split across the remaining duration of the Deliverable or Variation if Autophasing is used.


Lifecycle - gives you the ability select a lifecycle phase that the deliverable pertains to. If it pertains to the whole project, you can select Whole Project. The start date and end date will be populated with the dates that have been set in the project schedule, found in the Time module. Having None selected means that you need to manually enter your start and end dates.

Please note, if the dates are changed within the contract, these will also be updated within the Time module.


Phasing method lets you choose between the Manual and Automatic phasing. Manual means that you need to manually enter each person's hours for each week/month. Automatic (which can be Weekly or Monthly depending on what you selected in the Data Entry drop down) means the system will evenly divide each person's remaining hours against each week/month for the period selected in the Start and End date columns.


The Monthly/Weekly hours can be amended individually for each month/ week by switching back to the Manual Phasing method.





You have the option to Copy the Effort Actual/Forecast to the Baseline by clicking the Copy button above the contract on the left hand side. (Rebaseline)



To the left of that button there is a camera icon which give you the ability to snapshot the current contract phasing.



Please note, the Snapshots are only available via API.


If you select the checkbox next to a role/person, new buttons will appear at the top, one for offsetting the Baseline or Forecast time for that person by a desired number of weeks and the other to snapshot just that individual's time.



The other option we have when we select a person's name or role is to clear the forecast by clicking on the Trash icon.


Once you have completed the phasing, press the green save icon to create the resource plan.


If there are multiple contract schedules, these are all summed up in the Resource Module > Resource Planning.


There are two ways to resource plan, one is at a contract level in the Contracts module and another one is in the Resources Module - Resource Planning. Please note, only one can be used at a time for each project because changes at the contract level override the changes made at the project level.



Timesheeting


The end user has the ability to timesheet against their assigned deliverables by going to the Timesheet Module.


From the Timesheet Module, press the Add yellow icon.

Select the project first and then the tasks you wish to add hours against and hit save.


Select the time period by changing the Week of on the right hand side corner and add in your hours underneath the respective dates.


You will need to add a comment, and then press the green save icon and submit.


If you go back to the Contract schedule you will notice the Actual Hours for that user have changed based on the timesheet data submitted.



The end user can adjust the time for a task, if required, by changing the remaining hours within the Timesheet module and pressing save.


That change in remainin hours will then appear within the Contract Schedule.
