How to Import Expenses (The Administrator Workflow)

Expenses can be imported in bulk by an administrator before being assigned to specific contracts.


Navigation: Configuration > Timesheet > Expenses


Steps to Import


  1. Prepare Data: Ensure your expense data from the corporate finance system includes the Project ID, Amount, Date, and Supplier.

  2. Import: Use the import tool in this configuration screen to upload the bulk expense file.

  3. Review: Verify that expenses have been imported correctly.


Post-Import Processing


Once imported, expenses are available in the system but must be processed to appear on a claim:

  • Map to WBS: Ensure the expense is mapped to the correct Project/Activity.

  • Flag as Billable: For the expense to be pulled into a Client Invoice, you must ensure the "Revenue Billable" flag is turned on.

  • Contract Assignment: If using the Contract-Based method, mapped and billable expenses will automatically create a Disbursement line item in the Revenue Contract.
