Managing Revisions/ Files

Understanding Revisions vs. Versions in UniPhi


UniPhi clearly differentiates between Revisions and Versions to support a structured collaboration process:

• Versions: When multiple stakeholders annotate the same Revision of a document and upload their files, each annotated upload creates a new version of that revision. For example, Revision A might have several versions (Version 1, Version 2, etc.), each capturing feedback from different reviewers.


This enables clear tracking of input at a specific stage in the design process.


• Revisions: A new Revision (e.g. Revision B) is typically created by the design team after consolidating feedback from the earlier revision’s versions. Uploading a file with a naming convention like _B (e.g. drawing_B.pdf) signals that this is a new revision, prompting UniPhi to supersede the previous one.


By default, the system displays the latest Revision, while the revision history icon gives users access to earlier revisions and their associated versions.


1. Update files based on feedback and upload as a new version.


2. The system will automatically register the new version and allocate a number, such as Version 2, depending on the number of times the file has been revised.

Note, keep the file name consistent to ensure proper versioning.


3. If additional annotations are made, use filters to organise annotations by priority, time frame, or other metadata.


4. Transmit the updated version to external collaborators as outlined in Section 3.


5. The updated version will now be available for review, and you can track further feedback as the process continues.


Filtering and Searching


Manage large volumes of feedback via the system's filtering and searching capabilities.


1. Use the Filter Function to narrow down comments based on priority, status, file type or other custom fields.

2. Search for specific comments or files using the search bar in the top right corner.


3. Combine filters and search to efficiently track feedback.


Expanded Search Capabilities


UniPhi’s search functionality within the Files and Annotations section enables users to search not only through metadata fields and visible annotation text but also within the actual text content of the uploaded PDF files themselves.


This enables users to quickly locate feedback or design references without needing to manually review each file.
