50. Exporting Documents from UniPhi

Within the Admin tab, Administrators are able to export document from the system. This may be required at the end of a project and once UniPhi is no longer required, or to satisfy legal or audit inspections.


1.       Go to the Configuration / Document Export tab



2.       The export document panel presents all available options for exporting documents from UniPhi. The configurable options available include:

 

·         Create folder for projects – allows you to specify the name of your output folder structure. If project ID and name are important for future reference, you will choose Project ID – Project Name


·         Create folder for templates – will group all documents within a folder per template. Your structure would therefore appear as:Project XYX - Template A - Template B - Template C, etc.


·         Template – Allows for a single template selection which will extract all document produced by the selected template, or you may choose to select all templates which will naturally extract all documents that have been created


·         Status – Allows you to specify the status of the document(s) that you are extracting. You may only require signed off documents, or you may require documents regardless of their status (private, draft, open for review, awaiting sign off, signed off, and closed)


·         Start Date / End Date – Allows you to specify a date range of document that you would like to export

 

3. Once you have determined your export requirements, UniPhi will export your documents into a PDF format. The entire extract will be provided to your local PC in a compressed zip file format. You may then extract and save your UniPhi documents to another location.
