Copy/Paste Accounting Integration

Administrator: Under Configuration > Accounting Integration > source of actuals = Excel

Accounting system has Project Ledger = select Yes if the chart of accounts in your Finance system matches the CoA in UniPhi. Select No if the chart of accounts is different to what is in UniPhi.
By selecting Excel as the source of actuals, users can import transactions from their accounting system via Excel.
Using the Interface
Under Costs > Accounting Integration
If All Projects is selected, you can bulk import payments across the portfolio. You will just need to ensure there is a column for the relevant Project ID in your Excel spreadsheet.

Click on the upload icon to begin the import.

In Excel, highlight and copy the full range of data, including the heading row. Then paste into the box in UniPhi.

You will now need to map the columns using the drop down lists
The required columns are:
Project ID (If you have all projects selected)
Transaction ID
Transaction Date
Description
Invoice No (if this matches any invoice in UniPhi, it will automatically apportion the amount to the relevant account code)
Amount
Optional:
Account Code (if your finance system has the same cost code structure that is in UniPhi, you can map it to automatically assign the value to the correct code)
Once mapped, press the validate icon:

If successful, press the green save button, then the X icon
Any errors will be highlighted in red. Hover over the cell to see a message as to why the error occurred:

After successful import
If your finance system has the same account codes as UniPhi and you mapped the Account Code column, your import is complete.
If your finance system has different cost codes to what is in UniPhi, you will need to tell UniPhi what code each payment should be allocated to.
Under Costs > Accounting Integration, filter for Unapportioned

Then you can use this drop down to allocate the full amount to a single cost code:

There are multiple lines for each transaction so that you can split the payment across multple account codes. Simply split enter each amount on separate lines in the “Apportioned Amount” column, then select the codes for each row.
